Note: The registration page has been updated and now being distributed beyond our World Leaders to everyone interested in signing up for the WBWC 2027.
The JAPAN district will submit registration and hotel reservation requests through JTB or Kintetsu, the official travel agencies for the Japan delegation.  These agencies will collect registration forms, compile participant lists, collect fees, make hotel reservations and input all information into CVENT by the established deadlines.

ALL OTHER DISTRICTS (BCA, Canada, South America, Hawaii) are asked to follow the procedure shown below.

Hotel Booking Details

Please Note:  Even though the convention dates are September 11-12, staying at the Hilton Hawaiian Village on September 10 and 11 is required.  We appreciate your support in ensuring a smooth and enjoyable event.

Delegates must make their hotel reservations first, or you will not be able to complete the convention registration. However, since the Hilton’s Registration system will be in place only from September 2026, the WBWC in Hawaii has a system in place called “Advanced Hotel Reservation.”

There are 260 rooms Resort View rooms available at the special rate of $229 plus tax and fees. The next group of rooms are Ocean View and Tapa Collection rooms available at $249 plus tax and fees. Rooms are first come, first served for these prices.

About Credit Cards

  • Credit card information is required to secure each hotel reservation, but charges will not be made until September 2026, so make sure your card is VALID beyond Sept. 2026.
  • Around September 9, 2026, Hilton will begin to charge your card and enter your reservation into their system.

Important Notes

  • The confirmation number you receive will be used to sign up for the WBWC registration. This number is our internal system only.
  • Once your Advanced Hotel Reservation has been transferred to Hilton’s system, a NEW Confirmation number will be sent to you from Hilton. You will use only this new number for direct communication with the hotel.
  • If you wait until September 2026 to book, you will need to reserve your room directly through Hilton’s website.

In Summary

  1. Secure your room at the Hilton, using “Advanced Hotel Reservation” link.
  2. A confirmation number will be emailed to you.
  3. Now you may proceed to the second link: WBWC Registration (see below for link)
  4. Enter your name, email address and use the Hotel confirmation number given.

WBWC Registration & Payments (via CVENT)

We are using CVENT, an internet software program who manages many kinds of information for a large group, for registering for WBWC. If you are not tech-savvy, please seek assistance from a friend.

Here is information that will be collected by CVENT during the registration process:

  • Meals – choice of lunch sandwiches – pulled pork, chicken, vegetarian; additional guest(s) for dinner.
  • Workshops – select one workshop per breakout session (total 2).
  • Verify Nametag information
  • Your nametag will indicate your meal choices, dinner table number, workshop choices

Payment of Registration Fee

  • Hawaii delegates, if paying by check, it would be helpful if fees were collected by your Unit, or United District. However, individuals may still pay directly to the Hawaii Federation. Always keep your Unit President informed that you are registered.
  • For BCA, Canada, and South America, and others, if paying by check, we will leave it up to you to decide whether you collect one check per Unit or District or if individuals will pay directly to the Hawaii Federation.
  • Check should be written out to HHMHFBWA and mailed to Hawaii Federation of BWAs at 1727 Pali Highway Honolulu, HI 96813, Attn: Dorene Toma.
  • If paying by credit card, the payment will go directly to the Hawaii Federation bank account; however, please note that a $15.00 processing fee will apply to all credit card transactions.

Deadlines and Rates

  1. June 30, 2026 – Early Registration ($325)
  2. March 31, 2027 – Regular Registration ($350)
  3. July 1, 2027 – Late Registration Deadline ($375)

Note: The final deadline for applications is Thursday, July 1, 2027. Once the convention registration fee has been received by the Hawaii Federation, it is non-refundable. However, the name of the registered participant may be changed. In order to change the name of a registered participant, send notification to Hawaii Federation of BWAs by Thursday, July 1, 2027. After July 1, 2027, the name will not be changed. No refunds will be given for no show, late arrivals, or partial participation.

ALL DISTRICTS

All delegates, including Hawaii, will pick up the following during the registration period on Friday, September 10 from 12:00 noon – 6:00 p.m. at the Tapa Tower lobby. If not picked up by Friday, report to the Registration Desk at the Tapa Tower on Saturday morning before the Convention opening begins. Here is a list of some items included:

  • Souvenir bag
  • Convention booklet
  • Lei for each delegate
  • Nametag (listing of meal table and workshop sign-ups)

What Else to Bring
Bring also your own Nenju and Montoshikisho to the service and convention events. A commemorative Montoshikisho will also be available for purchase at the convention.
